Process for Applicants and Responsibilities of Session Managers During the Government Shutdown
Mixed Sessions (FRNs and No FRNs):
If you’re conducting a session with a mix of applicants (some with FRNs and some without), please create separate sessions for each group. Please use another assigned Session ID and not a suffix or other designation. This ensures proper processing and avoids complications in submission. Please move them to the proper session before they begin their exams to ensure the paperwork processes correctly. It is advisable to keep one of the sessions hidden as to not advertise both sessions. It is possible to have two sessions of ExamTools open at the same time. Finalize and submit both sessions as you would normally to Plexus.
Registering Without an FRN:
For applicants without an FRN, it does not matter whether they register using all zeros or check the “No FRN” box in ExamTools. Both methods result in dashes appearing in the FRN field of the .dat file, which is acceptable. This has been confirmed by ExamTools.
Session Manager Responsibilities Post-Shutdown:
Each applicant should receive their CSCE at the time of the exam by completing the Form 605 with the VEs who witnessed the exam. Session Managers are responsible for instructing applicants to obtain their FRNs once the government reopens and to register for a new session to complete the licensing process.
While it’s optional, Session Managers may choose to email their applicants with a reminder once the government reopens. However, GLAARG will not be sending automatic notifications to applicants who still need to complete the process.
Completing the Process After Receiving an FRN:
Once applicants have obtained their FRN once the government reopens, they should:
- Register for a new session depending on their schedule availability. It may not be the same Session Manager or VEs as the session were they obtained their CSCE.
- Present their earned CSCE(s) to the Session Manager.
- The Session Manager will:
- Credit the exam(s) in ExamTools based on the CSCE(s) after validating the ExamTool CSCE(s) by following the link at the bottom of the CSCE(s).
- Proceed to the “Finish & Sign” section so the applicant can complete their signatures in front of three VEs, as required.
Applicants do not need to return to their original exam session or Session Manager.
The original session files remain untouched, and no additional charge will be applied for processing GLAARG-issued CSCEs post-shutdown. Please contact the VEC if you have solely Non-GLAARG CSCE(s) for further information.
Paperwork & Signature Requirements:
No paperwork needs to be re-signed aside from completing the “Finish & Sign” process in ExamTools during the new session. This step satisfies the requirement for proper signatures in front of the VEs. The VEC does not handle this automatically—it must be completed through the follow-up session.
